We are Jess + Jayme of Here and Away Travel, the travel agents working with Sarah + Mike on their Destination Wedding to Valentin Imperial Maya in the Riviera Maya, Mexico, on May 15th, 2026.
This website has a lot of information about the room block, resort, rates, how to book, passports, travel insurance, flights, etc. Please go through all of the information, and we are here to answer any questions you may have.
The Resort
Valentin Imperial Maya
The award winning Valentin Imperial Riviera Maya resort is an exclusive adults only all-inclusive resort located in the Mexican Caribbean. It's the ideal destination for those seeking an unforgettable vacation in Mexico.

Getting There
Flights
You will fly into Cancun International Airport (CUN). Flights for May of 2026 are currently released and able to be booked.
While your room must be booked through our travel agents, you are welcome to arrange your own flights and use points, miles, or credits. Please ensure that the name on your plane ticket matches your passport exactly.
Passports
A valid blue U.S. passport book is required for international air travel to Mexico. Passport cards or other forms of ID will not be accepted.
If you need a new passport or a renewal, begin the process as soon as possible to allow time for any delays.

The Room Block
Sarah + Mike have secured a room block at Valentin Imperial Maya for their wedding guests, and your $200 deposit will serve as your RSVP.
All guests attending the wedding are required to stay a minimum of three nights at Valentin Imperial Maya and must book within the couple’s room block.
Guests who choose to book outside of the block will be charged an additional $300 per person by the resort in order to attend the wedding events. This is a resort imposed fee, and they do enforce it.
Please note that a room block does not mean that all of the rooms are physically located together in one section of the resort. We are happy to request that certain rooms be placed near one another, but these are requests only and cannot be guaranteed. If you would like to guarantee being next to another guest, the only option is to book a suite together.

HOW TO BOOK
Mike + Sarah have organized a room block for all of their wedding guests. In order to be considered a part of the wedding group, you must book your rooms using our room reservation form. Those who book sooner will have a greater selection of rooms!
STEP ONE: To reserve your room, please fill out the following form to get started!
Please note that only one person from each room should fill out the form, but you will need all guests’ information to proceed.
NOTE ABOUT TRAVEL INSURANCE ON THE FORM (PLEASE READ IN FULL!!):
If you would like the cost of travel protection added to your invoice quote, please select:
“Yes! Show me the insurance cost.”
We will then send you an updated invoice that includes both your hotel cost and the travel protection.
By approving your invoice, you are authorizing Here and Away Travel to charge your deposit and the cost of insurance to your credit card. Please note: once travel protection is charged to your card, it cannot be reversed or refunded.
If, after reviewing your invoice, you decide not to purchase travel protection, do not approve the invoice. Instead, email us and request a new invoice that includes only the hotel cost.
Declining Travel Protection:
If you do not wish to purchase travel protection, please select: “No.” By selecting “No,” you are agreeing to the following statement: “I understand that if I choose not to purchase travel insurance, there are no refunds for any reason. I acknowledge that travel insurance protects my vacation investment in the event my plans change due to weather, natural disaster, financial default of the travel supplier, military deployment, medical needs, work obligations, and other unforeseen circumstances. I also understand that insurance must be purchased at the time of deposit to maximize coverage and benefits. Finally, I understand that without travel insurance, I will not have any medical coverage while traveling outside of the United States.”
Booking Process:
The deposit is $200 for the room, plus the cost of insurance if you opt to add travel insurance to your reservation. Final payments are due on or before December 20th, 2025.
You will fill out the room reservation form, and then we will send you an invoice that you will approve to make sure everything is correct for your stay.
Once we receive that, we will make your deposit. Nothing will be charged to your card until you sign the invoice approval.
Any time you would like to make a payment, you will just request a link from the travel agents that will be sent over and you can make the payment for any amount you would like.
ROUND TRIP AIRPORT TRANSFERS
If you would like Here and Away to arrange your transportation to and from the airport and resort, please include transportation ehen completing your reservation form.
Shared, multi-stop transfers are included in your room rate.
Shared, Multi-Stop Transfers Disclaimer
If you are selecting the shared, multi-stop transfers, please note that these are not designed for convenience. While they are the most economical option, you may wait up to 90 minutes after exiting the airport before departure, the transfer will make multiple stops at other resorts on the way to your destination, and your return pickup may be scheduled up to six hours prior to your flight. Pickup times cannot be changed or adjusted, as this is a shared service.
If you would like to upgrade to direct, more convenient Group Shared (only shared with Sarah + Mike’s group) round trip transfers, they are $75 per person round trip, or $150 for up to 4 people traveling on the same flight.
We are also happy to get you a quote if you have more than 4 guests on the same flight.
It is strongly recommended to pre-arrange transportation in advance, as airport taxis can be expensive, unreliable, and inconvenient after a long flight.
Flight details MUST be submitted no later than March 11th, 2026 in order to be included in the group transportation.
INSURANCE + CANCELLATIONS
ALL RESERVATIONS IN THE GROUP ARE FULLY NON-REFUNDABLE AFTER DECEMBER 20TH, 2025 WITHOUT INSURANCE.
Here and Away Travel STRONGLY recommends that you purchase travel insurance, especially when traveling internationally.
We highly recommend travel insurance not only to protect the investment on your trip (many deposits and payments with group blocks are non-refundable if you do not), but also to protect you if something unexpected happens and you need medical attention or have to go to the hospital in Mexico. Most US insurance companies don't cover anything that happens outside of the USA, which can leave you with HUGE bills that would not be reimbursed unless you have medical coverage for your trip. (Also please note, the hospitals in Mexico will not allow you to leave until ALL bills have been paid.) Please note that Here and Away Travel cannot help you recoup any financial losses that arise in the case that you do not purchase travel insurance.
CANCELLATIONS:
We understand that most situations that would require you to cancel a trip are completely unexpected, and it is common to feel like you will never actually need to use travel insurance. The fact is, most won’t have to use it and we hope you never do. But travel insurance isn’t for those “most times.” It’s for the times that something unexpected comes up before or during travel - illnesses, last minute work obligations, sudden financial stresses, injuries during travel, etc. The last thing we want is for something incredibly stressful to be going on and then on top of it, you are out thousands of dollars in travel costs or medical expenses because you did not purchase insurance. Please note that not refunding costs after the date of December 20th, 2025 is not our policy, it is the resort’s group policy and they do not budge.
PLEASE we beg you to consider travel insurance so that you are financially protected in all scenarios.
